ClientCompass

ClientCompass is the client portal for your coaching engagement. Your coach uses it to share session recaps, resources, tasks, and progress with you. Your coach decides what information is collected about you and why (they are the “controller” of your data); ClientCompass operates the portal and processes that information on your coach’s behalf (we are the “processor”). This policy explains what we handle and the choices you have.
We collect information directly from you (during setup and as you use the portal) and from your coach, who may add profile details and session notes. Some information originates in services your coach connects, such as calendar, meeting-notes, or scheduling tools.
We use your information to run the portal, support your coaching engagement, prepare session summaries and recommendations, communicate with you, and keep the service secure and reliable. We do not use it for advertising, and we do not sell or share your personal information (including as “sale” or “sharing” are defined under California law).
To support your coach, some of your session notes, transcripts, and profile information are processed using AI services to help prepare summaries, recaps, follow-ups, and recommendations. Everything AI helps prepare is reviewed and approved by your coach before it reaches you— nothing is sent to you automatically, and no decision that affects you is made solely by a machine. Our AI providers do not use your data to train their models. See our AI Use Policy for details.
Your coach may capture notes or a transcript of your sessions to track your progress. Recording laws vary by location and can require the consent of everyone on the call; your coach is responsible for obtaining any consent required before recording. If you would prefer your sessions not be recorded or transcribed, tell your coach.
We share data only with the providers needed to run the portal, each limited to what its function requires: cloud hosting and file storage (Vercel), a managed database (Neon), background processing (Railway/Redis), transactional email (Resend), error monitoring (Sentry), privacy-conscious product analytics (PostHog), and AI processing (Anthropic and Google). These providers act on our instructions and are not permitted to use your data for their own purposes. See the full list of sub-processors.
Coaching notes and transcripts can contain sensitive personal information. We use it only to provide the coaching service described here, and we do not use or disclose it for any other purpose.
Your coaching data is retained for the duration of your engagement so your coach can track progress across sessions, and for a reasonable period afterward unless you ask us to delete it sooner.
Depending on where you live, you may have the right to access a copy of your data, correct it, delete it, receive it in a portable format, or object to or restrict certain processing — and to do so without discrimination. To exercise any of these, contact your coach or email us at privacy@clientcompass.app. We will verify and fulfill valid requests within 30 days (or as your local law requires). You may also authorize an agent to make a request on your behalf.
We operate from the United States, so your information is processed there. If you are in the EEA, the UK, or another region with data transfer rules, we rely on appropriate safeguards (such as Standard Contractual Clauses) for that transfer, and you keep the rights described above.
The portal is intended for adults and is not directed to children under 16. We do not knowingly collect information from children under 16 without appropriate consent.
We use encryption in transit, access controls, and other technical and organizational measures to protect your data. No system is perfectly secure, but we work to keep yours safe and to notify you and your coach if something goes wrong.
If this policy changes in a way that affects how your data is used, we will update the date above and ask you to review and accept the updated version in the portal before you continue.
